3PL credit request email: two billing dispute templates
Two 3PL billing dispute email templates to copy: a first credit request and a polite follow-up, plus what evidence to attach and when to send.
A good 3PL credit request email names the invoice, lists each disputed charge with its amount and the contract term it breaks, attaches a spreadsheet that points to the exact invoice lines, and asks for a credit by a set date. Below are two templates you can copy: a first request and a polite follow-up for when you hear nothing. Send the first one well inside the dispute window in your contract.
Before you send anything
Three things make a credit request quick to approve.
- Find your dispute window. Look for the billing or dispute clause in your agreement. It usually says how many days you have and whether the clock starts on the invoice date or the date you received it. In our made-up example, Ridgeline Fulfillment gives Juniper & Pine 30 days from the invoice date.
- Check every line first. Work through the 3PL invoice audit checklist so you send one complete request, not a series of small ones.
- Split certain from likely. A rate that does not match the rate card is certain. A residential surcharge on what you believe is a business address is likely, because the carrier classified the address. Ask for a credit on the certain items and ask the warehouse to check the likely ones.

Template 1: first credit request
Replace everything in square brackets. Keep the numbered list to one line per issue; the detail belongs in the attachment.
Subject: Credit request for invoice [invoice number]: $[total amount]
Hi [first name],
We reviewed invoice [invoice number], dated [invoice date], against our rate card ([rate card or amendment name and effective date]) and our order records. We found [number] issues that do not match the agreement, totaling $[total amount]. We are raising them within the [number]-day dispute window in [section or clause of the agreement].
1. [Issue, for example: shipping markup above the contract]: [number] lines, $[amount]. [Contract term, for example: carrier charges are billed at cost plus 8%; these lines are billed at 12%.]
2. [Issue]: [number] lines, $[amount]. [Contract term or record that shows the error.]
3. [Issue]: [number] lines, $[amount]. [Contract term or record that shows the error.]
The attached spreadsheet lists every line with its invoice row reference, the amount billed, the amount the agreement allows and the difference.
[Optional: We also found [number] charges, $[amount], that look wrong but need your records to confirm: [for example, residential surcharges on orders shipped to business addresses]. Could you check those and let us know?]
Please confirm by [date, about one week from today] that you will credit $[total amount] on the next invoice, or tell us which lines you see differently and why.
Thanks,

Template 2: polite follow-up after no reply
Send this if you have no answer by the date you asked for. Reply in the same email thread so the original date stays visible.
Subject: Re: Credit request for invoice [invoice number]: $[total amount]
Hi [first name],
I am following up on my email of [date of first email] about invoice [invoice number]. We raised [number] issues totaling $[total amount] within the dispute window in [section or clause], and I have not seen a reply yet.
I have attached the same spreadsheet again. Could you confirm by [new date] that the credit will appear on the next invoice, or tell us which lines you would like to discuss? If someone else handles billing disputes, please forward this to them or let me know who to contact.
Thanks,

What to attach
The spreadsheet does the work. Your account manager should be able to find each disputed line on their own invoice in seconds. Use one row per disputed line, with these columns:
| Column | What goes in it | Example (made up) |
|---|---|---|
| Invoice number | The invoice the line appears on | RF-2026-09 |
| Line reference | The row, line or page on the invoice file | Page 25 |
| Date | The charge date on the invoice | 2026-09-02 |
| Order or reference | Order number, ASN or other reference | ASN-2231 |
| Billed | Quantity × rate = amount, as billed | 37 × $5.00 = $185.00 |
| Contract term | The rate card row or clause that applies | Receiving, $5.00 per carton |
| Should be | The correct amount | $0.00 |
| Difference | Billed minus should be | $185.00 |
| Evidence | What proves it | The same ASN-2231 receipt was billed on RF-2026-08, Charges row 1294 |
Add a total for each issue at the bottom, and attach copies of the documents you relied on: the rate card page or amendment, the Shopify export rows for canceled orders, and the storage report if you are disputing storage. For the rate card itself, our 3PL rate card template puts every rate and its dates in one sheet.
Tone
- Assume a mistake, not bad faith. Most billing errors come from a setup problem, such as an old rate left in the billing system.
- Quote the contract. "Carrier charges are billed at cost plus 8%" settles more than "this seems high".
- Keep it short. The email states the issues and the total; the spreadsheet carries the detail.
- Ask for one specific thing: a credit of a stated amount on the next invoice.
- Do not threaten to leave in a first request. If the relationship is at risk, have that conversation separately.
Timing
Send the first request as soon as your review is done, not on the last day of the window. A simple rhythm that works with a 30-day window:
- Day 0: the invoice date, which is when the window starts in this example. Start the review as soon as the invoice arrives.
- By day 10 to 15: send Template 1, with a reply-by date about a week out.
- The day after the reply-by date: send Template 2 in the same thread.
- Still no answer: write to the escalation contact named in your agreement before the window closes, and keep copies of every email.
Check what your contract says about paying the undisputed part of an invoice while a dispute is open. If the amount is large or the terms are unclear, have a lawyer review it.
A filled-in example
In the made-up sample audit of Juniper & Pine's bills from Ridgeline Fulfillment, three months of invoices produced these items. Seven were certain and went in the numbered list; one was likely and went in the optional paragraph.
| Issue | Amount |
|---|---|
| Shipping markup billed at 12% instead of 8% | $417.58 |
| Storage billed on the peak instead of the average | $324.00 |
| Old additional-item rate after the July 1 change | $205.00 |
| Receiving charge billed twice | $185.00 |
| Canceled orders billed | $51.45 |
| Extra items billed | $9.10 |
| Quantity × rate arithmetic error | $3.50 |
| Certain total | $1,195.63 |
| Residential surcharges on business addresses (likely) | $72.10 |
| Total found | $1,267.73 |
You can see the full report, with every line reference, in the sample audit.

Questions
How do I dispute a 3PL invoice?
Check each charge against your signed rate card, list the wrong lines with their invoice references and the correct amounts, and email your account manager a credit request with that spreadsheet attached. Send it inside the dispute window in your contract and keep a copy.
What should a billing dispute email include?
The invoice number and date, each disputed issue with its amount and the contract term it breaks, the total credit you are asking for, a reply-by date, and an attached spreadsheet that points to the exact invoice lines.
How long do I have to dispute a 3PL invoice?
It depends on your contract, so look for the dispute or billing clause. In the made-up Ridgeline Fulfillment example, the brand has 30 days from the invoice date.
What if my 3PL does not reply to a credit request?
Send a short follow-up that repeats the total, the date of your first email and the attachment. If there is still no reply, write to the escalation contact named in your agreement, and keep every email as a record that you raised the dispute in time.
