3PL cost calculator: monthly cost and cost per order
Free 3PL cost calculator. Enter your orders, rates, storage and fees to see your monthly fulfillment cost, cost per order and any monthly minimum top-up.
This 3PL cost calculator adds up a month of warehouse charges from your own rates and volumes, and shows the total, each line, and what you pay per order. It also adds the monthly minimum top-up if your charges fall short of it. Use it to compare quotes, budget a slow month, or check that an invoice total is in the right range.
How to use the calculator
Enter one month of activity and the rates from your rate card:
- Orders per month and average items per order (units shipped ÷ orders).
- First-item pick fee and additional-item fee, as your contract states them.
- Packaging per order: the mailer or box charge, if billed separately.
- Average postage per order: what the 3PL bills you per label, including any markup.
- Pallets stored and storage rate per pallet per month.
- Monthly receiving cost: your typical receiving charges for a month.
- Monthly account fee and monthly minimum.
The results update as you type. Nothing is uploaded or stored.
The formula
The calculator works out each line, then applies the minimum:
| Line | Calculation |
|---|---|
| First-item pick fees | orders × first-item fee |
| Additional items | orders × (items per order − 1) × additional-item fee |
| Packaging | orders × packaging per order |
| Storage | pallets × storage rate |
| Receiving | monthly receiving cost |
| Account fee | monthly account fee |
| Minimum top-up | minimum − the six lines above, if that is more than zero |
| Postage | orders × average postage per order |
Total = the six lines + minimum top-up + postage. Cost per order = total ÷ orders.
The minimum is compared with every line except postage, so it covers fulfillment and storage but not shipping. Contracts differ on what counts, so check the minimum clause in yours. Some count only pick and pack fees, which would make your top-up larger than the calculator shows. Our page on monthly minimums explains the common versions.
Worked example
These figures use the rates of Ridgeline Fulfillment, a made-up warehouse, for Juniper & Pine, a made-up brand. They are examples, not market prices.
A normal month: 350 orders, 1.9 items per order, 40 pallets, $200 of receiving.
| Line | Calculation | Amount |
|---|---|---|
| First-item pick fees | 350 × $3.25 | $1,137.50 |
| Additional items | 350 × 0.9 × $0.65 | $204.75 |
| Packaging | 350 × $0.40 | $140.00 |
| Storage | 40 × $18.00 | $720.00 |
| Receiving | $200.00 | |
| Account fee | $150.00 | |
| Postage | 350 × $11.50 | $4,025.00 |
| Total | $6,577.25 |
The six non-postage lines come to $2,552.25, above the $1,500 minimum, so there is no top-up. Cost per order is $6,577.25 ÷ 350 = $18.79, of which $7.29 is fulfillment and storage and $11.50 is postage.
A slow month: 120 orders, 1.9 items per order, 10 pallets, $200 of receiving.
| Line | Calculation | Amount |
|---|---|---|
| First-item pick fees | 120 × $3.25 | $390.00 |
| Additional items | 120 × 0.9 × $0.65 | $70.20 |
| Packaging | 120 × $0.40 | $48.00 |
| Storage | 10 × $18.00 | $180.00 |
| Receiving | $200.00 | |
| Account fee | $150.00 | |
| Minimum top-up | $1,500.00 − $1,038.20 | $461.80 |
| Postage | 120 × $11.50 | $1,380.00 |
| Total | $2,880.00 |
Cost per order is $2,880.00 ÷ 120 = $24.00. Postage per order is unchanged, but fulfillment and storage per order rises from $7.29 to $12.50, because the $1,500 floor is spread across far fewer orders.
What the result means
- Cost per order is the number to compare between warehouses and to use in your margins. A quote with a low pick fee can still cost more per order once storage, fixed fees and the minimum are counted.
- A minimum top-up means you are paying for capacity you did not use that month. If it appears often, the minimum may be too high for your volume. That is worth raising when the contract is renewed.
- A real invoice well above the calculator is a reason to look closer. Check rates by date, units against orders, storage basis and the shipping markup. The pick fee checker and storage fee checker test those lines one at a time, and our guide to 3PL cost per order explains what moves the number.
Keep your rates in one place with the 3PL rate card template, so the inputs here match what you signed.
Check your actual bills
The calculator shows what a month should cost. 3PL Checker's free audit checks what you were actually billed, line by line, against your rate card and Shopify orders, and gives you the evidence and a credit request for anything wrong.
Questions
How do you calculate fulfillment cost per order?
Add up a month of pick fees, additional-item fees, packaging, storage, receiving, fixed fees, any minimum top-up and postage, then divide by the number of orders shipped that month.
What is the cost per order formula?
Cost per order = total monthly 3PL cost ÷ orders shipped. Include storage, receiving and fixed fees as well as per-order charges, or the figure will look lower than what you really pay.
What is fulfillment cost per unit?
It is the same monthly total divided by units shipped instead of orders. Divide the calculator's monthly total by your units if you price or report per unit.
How does a 3PL monthly minimum affect cost per order?
If the charges that count toward the minimum fall below it, the 3PL bills the gap as a top-up. In a slow month that top-up is spread across fewer orders, so cost per order rises.
